Privacy Policy for CloudBin

Last updated: 24 October 2026

Who We Are

CloudBin Pty Ltd (“CloudBin”, “we”, “us” or “our”) provides business management software and related services, including the CloudBin mobile app. This policy explains how we collect, use, store and protect personal information when you use our services. We handle personal information in accordance with the Australian privacy laws that apply to us and the type of information involved.

You can contact us at privacy@cloudbin.com.au or 0422 000 376.

Who Uses the App

The CloudBin app is used by staff and drivers of businesses that use CloudBin. Their employer creates and manages their accounts and determines their access within the business.

Information We Collect

We collect information provided by you, your employer and authorised users when they set up accounts or manage work in CloudBin. This includes:

  • Names, email addresses and phone numbers.
  • Business details and customer addresses.
  • Job details, job photos and comments.
  • Payment amounts recorded on jobs and information used for payments and invoices.
  • A device push notification token used to deliver app notifications.
  • A driver’s location when signing in or signing off for the day, with location permission, to check whether they are at the business’s yard.

Location is currently collected only for the daily sign-in and sign-off yard check. We do not currently collect location for job completion or track drivers throughout their runs.

We may also collect device information, usage data and technical logs to operate and protect our services. Our website uses cookies and similar technologies, including website analytics.

How We Use Your Information

We use this information to run bookings, organise driver runs, maintain job records and support payments and invoices for the business. Job photos and comments help the business document its work. Push notification tokens allow us to send relevant service and job notifications to the app. Sign-in and sign-off location supports the yard check.

We also use information to provide support, maintain and improve our services, send technical notices and protect against misuse and fraud. We do not use app data for advertising, sell personal information or track users across other apps.

Who Can Access Your Information

Information in a business’s CloudBin account is available to that business’s authorised users according to their account permissions. It is not made available to other businesses using CloudBin.

We do not share personal information with third parties for marketing, and we do not release business or personal data simply because a third party requests it. Service providers process information as needed to operate our services, including MongoDB Atlas for our app database and Hosting Australia for our public website. If a business chooses to connect accounting software such as Xero, relevant information is shared with that service to provide the integration.

We may disclose information where required by Australian law or a legally binding order. Any such disclosure is limited to what is legally required.

Where Information Is Stored and How It Is Protected

CloudBin app data is stored in Australia only. Our app database is hosted with MongoDB Atlas in Sydney, Australia.

Information sent between your device and CloudBin is encrypted in transit using HTTPS. Access to business records is restricted to authorised accounts for that business, with access by CloudBin and its service providers limited to what is needed to operate and support the service. We use reasonable safeguards to protect personal information, although no internet transmission or storage system can be guaranteed completely secure.

How Long We Keep Information

We retain information while a business uses CloudBin to provide the service. A business can request deletion of its data. If deletion is not requested after the business stops using CloudBin, data may be retained for up to seven years, depending on the type of information and applicable Australian legal requirements.

We delete information on request unless an applicable legal obligation requires us to retain it. Where retention is required, we explain the reason and retain only the information needed for the required period. Information is deleted or de-identified earlier when it is no longer needed and applicable law requires this. Retained data remains protected and is not sold or shared for marketing.

Your Choices and Requests

You can refuse or withdraw location, camera and photo permissions in your phone settings. Without location permission, the sign-in and sign-off yard check cannot run. Without camera or photo access, you may be unable to take or upload job photos using those features. You can also manage push notification permissions in your phone settings.

To ask to see, correct or delete your personal information, contact your employer or email support@cloudbin.com.au. We may need to verify your identity and coordinate with the business that manages your account. Requests are handled in accordance with the Australian privacy laws and record-keeping requirements that apply to the information.

Changes to This Policy

We may update this policy as our services or privacy practices change. We will publish the updated policy on this page and change the last-updated date above.
